Trip-Ledger LLC
Terms of Transportation
Effective June 12, 2026 · Direct (private-pay) bookings
1. Who we are
Trip-Ledger LLC (“Trip-Ledger”, “we”) arranges non-emergency medical transportation by matching your trip with qualified, credentialed transportation providers in our network. The transportation itself is performed by the assigned provider and driver. Trip-Ledger is not an emergency service — if you are experiencing a medical emergency, call 911.
2. Booking and quotes
Submitting a request (online or by phone) is not a confirmed booking. A Trip-Ledger coordinator contacts you to confirm the details and provide an exact, all-in quote. Nothing is charged and no trip is scheduled until you approve the quote.
3. Payment
Payment is due when you approve the quote, by card over the phone or through a secure payment link (processed by Stripe). Your trip is assigned to a provider after payment is received. For recurring (standing) trips we may consolidate a week of trips into a single payment. Trip-Ledger does not store your card number — payment processing is handled by Stripe.
4. Cancellation and refund policy
| When you cancel | Refund |
|---|---|
| More than 48 hours before pickup | 100% |
| 24–48 hours before pickup | 75% |
| Less than 24 hours before pickup | 50% |
| No-show | No refund |
- • If we or the provider cancel or miss your trip, you receive a 100% refund and priority rebooking — always.
- • One free reschedule: with at least 24 hours’ notice, your first reschedule of a trip is free.
- • No-show: the driver waits 15 minutes at the agreed location and we attempt to reach you by phone before a trip is marked a no-show. Cancelling after the driver has arrived is treated as a no-show.
- • Same-day bookings (booked within 24 hours of pickup) follow the “less than 24 hours” tier from the moment of booking.
- • Refunds go to the original card within 5–10 business days. We absorb card-processing fees — the percentages above are what you receive.
- • Will-call return trips are picked up from a queue when you call that you’re ready; wait times vary with demand.
5. Rider responsibilities
Please be ready at the scheduled time, use seatbelts and securement equipment, and tell us in advance about mobility equipment, oxygen, stairs, companions, or other needs so we can send the right vehicle. A companion listed on the booking rides free unless otherwise quoted.
6. Liability
Transportation is performed by independent providers who are required to carry commercial auto liability insurance and meet Trip-Ledger’s credentialing standards. Trip-Ledger’s responsibility is arranging and coordinating the trip. Nothing in these terms limits rights you have under applicable law.
7. Governing law & contact
These terms are governed by the laws of the Commonwealth of Virginia. Questions, changes, or complaints: call 804-555-0199. Trip-Ledger LLC, Glen Allen, Virginia.
